Step 4: Price the total cost, not the unit price
I made this mistake once. I quoted a purchase for a small department and forgot to include shipping. The unit price looked great; the total was about 15% higher than what I'd presented. My operations lead was not thrilled. I want to say the shipping added roughly $1,200 to that project, but don't quote me on the exact number—the lesson stuck, and the details blurred.
For a converter rollout, budget for:

Step 5: Pilot ONE unit before you buy the fleet
I mostly learned this by not doing it. In 2022, I approved a bulk order for sit-stand desks for a department without testing a unit in our actual space first. The spec sheet was fine. But the delivery ran late, the invoicing was a mess, and the base of the desk interacted badly with the floor mats in part of our office. That last question matters more than you'd think. A wobbly base desk will make a perfectly good converter feel like a rickety tower. The pilot tells you whether your desks and the converter are a match before finance signs off.
Step 6: Build in an opt-out
Not everyone wants to stand while they work. I know that sounds strange to learn, but three people on our team declined the converter when we offered a no-thanks option. One had a medical condition that made standing uncomfortable. One simply preferred sitting. The third was about to go on extended leave and didn't want the equipment sitting idle.
Forcing a converter on someone who doesn't want it creates resentment, plus equipment that becomes a shelf for clutter. We let the three decline, and it was the right call. Two of those units ended up being returned for credit, which worked out fine.
Step 7: Follow up at 30 and 90 days
The purchase doesn't end when the boxes are opened. At 30 days, we checked in and found about 75% of recipients using their converters regularly. The follow-up matters because it catches fixable problems. A quick conversation at 90 days can address the first two, and a small reminder can address the third. Catching these issues early is how you keep a 60% usage rate from drifting down to 30%.
Common mistakes to avoid
- Don't rely on online reviews for a fleet purchase. Reviewers are usually home users with one desk and one monitor. Your office is not that.
- Don't assume every desk in your office is the same model. We found four.
- Don't skip the pilot. It's the cheapest insurance you can buy.
- Don't forget the accessories. Cable trays, monitor arms, power strips—rarely included, always needed.
- Don't base a 2025 purchase on 2020 best practices. The fundamentals haven't changed, but the execution has transformed.
Bottom line
There's a version of this process where you just pick a converter, order it, and hope. That version works for a home office. For an office of 40 people, the checklist above—measure, survey, decide, price fully, pilot, allow opt-outs, follow up—is what stands between you and a purchase you'll have to explain to finance.
If you're starting this process, the good news is the fundamentals haven't changed: know what you have, verify what you need, test before you scale. The tools have gotten better, though. Electric converters and app controls were niche in 2020; by 2025 they're near-standard. Use them, but use the process, too. It's not glamorous, but it's how you avoid a very expensive mistake.
